Monday, 7:45 a.m., shared mailbox: "100 pcs hex bolt M12x50 8.8 zp DIN 933, 200 nuts M12, 1 pack washers 13", plus a phone photo of an order list with item numbers from the old catalog. In fastener wholesale, this is everyday business. AI software can read such orders, match standard and short designations to your own item master, and prepare the order for review before it is booked into the ERP. Inside sales still decides what goes out.

Key takeaways

  • The effort in fastener wholesale comes less from complex products than from many small line items, variants and inconsistent spellings.

  • Customers order with old DIN numbers, new ISO numbers, abbreviations and third-party item numbers. Matching to the item master takes the most time.

  • AI-based order entry reads email, PDF, scans, photos and Excel, matches line items and flags uncertain lines instead of guessing.

  • For project inquiries and bills of quantities (for example mounting rails, heavy-duty anchoring), the same principle applies: read the line item, check the requirements, suggest the matching item.

  • Where orders already arrive by EDI or Kanban scanner, no additional AI is needed.

Why is order entry in fastener wholesale so time-consuming?

In fastener wholesale, it is not the individual product that costs time, but the number of variants and spellings. A hex bolt comes in many dimensions, strength classes, materials, finishes and packaging units. Every combination is a separate item, and every customer describes it differently.

On top of that comes the switch of standards. Many customers keep writing DIN 933 or DIN 912, although the items are listed in the master under ISO 4017 or ISO 4762. Others order with item numbers from another supplier or with designations from their own merchandise system.

The result: an order with 15 line items can easily take longer than a quote for a single large product. The value per line item is often small, while the entry effort per line stays the same.

What orders and inquiries arrive in technical distribution?

A technical distributor for fasteners, often counted as part of production connection trade (PVH), serves trades, industry and construction across several channels at once. Typical ones are:

  • Free-text email orders, often from a smartphone on the construction site or from the workshop.

  • PDF orders from the customer's ERP with customer item numbers and their own designations.

  • Excel lists for reorders or project requirements.

  • Photos and scans of handwritten notes or printed lists.

  • Project inquiries and bills of quantities, for example for mounting rail systems, pipe fastening, anchors with building authority approval or European Technical Assessment (ETA).

  • Call-offs from framework agreements and C-parts supply, some of which already run electronically.

For the first four channels, the same applies: someone in inside sales reads, translates and retypes. This is exactly where automatic order entry comes in.

How customers actually describe fastener items

Customer spelling

Usually meant

What must match in the item master

hex bolt M10x40 8.8 zp DIN 933

Hex bolt fully threaded, today ISO 4017

Dimension, strength class 8.8, zinc plated

socket cap screw M8x25 A2 DIN 912

Socket head cap screw, today ISO 4762

Material A2 (e.g., A2-70), dimension

nut M12 galv.

Hex nut, DIN 934 or ISO 4032

Thread, strength class, finish

washer 13 DIN 125

Washer for M12, today ISO 7089

Inner diameter, material, finish

anchor 8x40

Unclear: type, manufacturer, material missing

Follow-up question needed

The last row shows the most important point: not every line item can be matched unambiguously. A good solution recognizes that and asks, instead of inserting an arbitrary anchor.

How does automatic order entry work in fastener wholesale?

Automatic order entry in fastener wholesale means: the software picks up orders from the shared mailbox, reads them regardless of format, matches each line to an item in your own master, adds surcharge lines and presents the order for review. Only after inside sales approves it is it booked into the ERP.

With Mercura, an AI software for quote and order automation in technical sales, the process looks like this:

Step

What happens

Who decides

1. Receipt

Order arrives in the shared mailbox (email, PDF, scan, photo, Excel)

automatic

2. Assignment

Order is assigned to the customer, branch and responsible clerk

automatic

3. Line items

Customer designations, short spellings and old item numbers are mapped to the item master

automatic, uncertain lines flagged

4. Surcharges

Lines for freight or packaging are added

according to your rules

5. Review

Inside sales reviews flagged lines and approves

human

6. Booking

Order is written to the ERP (e.g., SAP), exports are monitored

automatic after approval

Prices and calculation stay in the ERP. The AI does not suggest its own prices, but works with what is stored in your merchandise system. You can read more about the general process in the article Automate order entry and on the page Order processing.

Example: email order from a metal fabrication company

Example (anonymized, fictional):

Subject: Order construction site hall 3

Hi all, please deliver by Thursday: 200 hex bolts M16x60 8.8 hot-dip galvanized with nuts 400 washers M16 hdg 50 heavy-duty anchors M12 for cracked concrete 10 cartridges injection mortar as last time Delivery to the construction site, address as always.

This is how the line item list would look after automatic matching, ready for review:

Customer line

Suggestion from the item master

Status

200 hex bolts M16x60 8.8 hot-dip galvanized with nuts

Set hex bolt M16x60, 8.8, hot-dip galvanized, with nut

confident

400 washers M16 hdg

Washer for M16, hot-dip galvanized

confident

50 heavy-duty anchors M12 for cracked concrete

several approved anchors possible

review: type and length missing

10 cartridges injection mortar as last time

not unambiguous: type and cartridge size missing

review

Delivery address "as always"

no address in the email

review

Two lines can be booked immediately, three go to inside sales for review. That is intended. For anchors in cracked concrete in particular, the approval decides, and software must not guess it.

How do quotes come from project inquiries and bills of quantities?

For project inquiries, the software reads the bill of quantities line item by line item, compares the short text and long text with the items and long texts in your own catalog, checks the required attributes and suggests matching items. If several items meet the requirement, Mercura sorts them by margin.

In fastener technology, this mainly concerns:

  • Mounting and installation technology: rail systems, brackets, pipe clamps, often with load data in the long text.

  • Heavy-duty anchoring: anchors and injection systems, where approval, anchoring base and fire protection requirements are in the text.

  • Material requirements: for example A4 instead of A2 outdoors or in chloride-containing environments.

Items you do not have in stock go to your suppliers as a price request. Mercura creates these requests and reads the replies back into the quote. The finished quote can be exported as GAEB or PDF. More under Quotes and tenders.

What data does a fastener distributor need for this?

You do not need a perfect item master. In addition to structured master data, Mercura also reads data sheets, technical documentation and catalog texts. Incomplete product data is not an exclusion criterion.

Still helpful are:

  • Structured attributes such as dimension, strength class, material, finish and packaging unit, for example from BMEcat, DATANORM, ETIM or Open Masterdata.

  • Standard cross-references between DIN and ISO designations in the item master.

  • Customer item numbers and mapping tables, if you already maintain them.

Mercura is connected to SAP S/4HANA, SAP ECC, SAP Business One, Microsoft Dynamics 365, Salesforce, proALPHA and UniTrade. Other systems run via an API or SFTP. The ERP remains the leading system. Details under Integrations.

Where does automation reach its limits in technical distribution?

Automation pays off where people retype unstructured orders. It does not replace processes that already run digitally and in a structured way, and it does not solve missing information in the order.

Honestly speaking, an AI solution is a weaker fit when:

  • Orders already arrive structured. Customers with EDI connections, Kanban systems or scanner reorders in C-parts management are already automated. AI brings little here. You will find a comparison under EDI or AI?.

  • Volume is small. If you receive only a few email orders per day, software saves hardly any time.

  • Drawing parts are involved. Special parts made to customer drawings need their own calculation. That stays with you.

  • The order is incomplete. "Anchor 8x40" stays unclear, no matter how good the software is. It flags the line, and your team asks the follow-up question.

It is also important to note: Mercura has no public case study for fastener technology so far. The figures in the next section come from other distribution sectors.

What do results from neighboring distribution sectors show?

The published results come from plumbing and HVAC distribution and from civil engineering supply. Both show similar patterns: many line items, mixed formats, high time pressure in inside sales.

  • Sanitär-Heinze (plumbing and HVAC wholesale): from 2 days to 2 hours per quote, 100% of incoming inquiries handled instead of around 70% before. Read the case study

  • Muffenrohr (civil engineering supply): 100% of inquiries handled, up to 60% faster. Read the case study

Across all customers, the average matching accuracy is 92%. It varies by customer and catalog. Mercura is used by over 80 distributors and manufacturers in Europe and the US at 115 locations.

Conclusion

In fastener wholesale, the effort in inside sales lies in the details: variants, switches of standards, short spellings and third-party item numbers. AI can take over exactly this translation work, as long as uncertain lines are visibly flagged and reviewed by the team. Where orders already arrive by EDI or Kanban, there is little to gain. Where emails, PDFs and photos dominate, a test with real orders from your mailbox is worthwhile.

Frequently asked questions

What is meant by production connection trade (PVH)?

Production connection trade usually refers to technical distribution that supplies industry and trades with tools, fasteners, safety equipment and other consumables. The term is not used entirely consistently in the industry.

Can AI match old DIN designations to the new ISO items?

Yes, if the relationship is recognizable in the item master or in the product data. Mercura reads customer designations and old item numbers and matches them to the current item. Uncertain matches are flagged for review.

Does this also work with incomplete master data?

Yes. In addition to structured master data, Mercura uses data sheets, technical documentation and catalog texts. Better data does increase the matching accuracy, though.

Does AI-based order entry replace EDI?

No. EDI suits customers who order in a structured way. AI is meant for the rest: emails, PDFs, scans, photos and Excel lists that are currently retyped.

How quickly can a distributor test this?

A technical test with your own data is usually possible within two working days. First workflows typically go live in under four weeks, without prior training.

Is our data used to train external AI models?

No. Customer data does not train external AI models. Mercura is certified to ISO/IEC 27001, GDPR-compliant, hosted in Europe and separates each customer in its own tenant.
